VSA 2025 Summer Positions

All individuals expressing interested in PTY positions must be at least 18-years-old. Two years experience working or volunteering with youth, is preferred but not required, for most positions.

There is no deadline to submit interest in VSA positions. Statements of interest will continue to be accepted until all positions are filled. You can express interest in multiple positions. We are unable to provide sponsorship of an employment VISA at this time.

VSA 2025 Summer Position Descriptions
  • Residential Staff: VSA Residential Staff serve as student facing staff who live in Vanderbilt Residence Halls with students. Each Proctor (undergraduate & graduate students) leads a group of 8-14 VSA students while Area Coordinators (graduate students & professionals) serve as floor leaders who lead and coach Proctors.
VSA Residential (7-12) Area Coordinator (Multiple Openings)
Vanderbilt Summer Academy (VSA) Area Coordinator


Location: Nashville, TN
Type: Residential
Reports to: Director of Residential and Secondary Programs

Job Description:  

A VSA Area Coordinator serves as an in-residence floor leader and supervisor. At VSA, residential small groups of middle and high school students grades 7-12, are led by proctors. Each proctor is responsible for activities, check ins, and is first line support for students. The Area Coordinator (AC) serves as “a proctor for the proctors” by providing support and supervision to proctors and serves as the bridge between proctors and the leadership team. Area Coordinators reside in the residential hall with VSA students and staff. This is a residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation. 50-60 hours per week is typical, including weekend shifts. Flexibility is essential in this position.

Expectations: 

Within their wide array of duties and responsibilities, VSA Area Coordinators are expected to: 

  • Supervise VSA Proctors in all aspects of their roles.  
  • Grow and maintain Residential Proctor morale and performance through routine group and 1:1 meetings and conversations.  
  • Ensure the quality and effectiveness of nightly proctor meetings as well as filling in to lead these meetings as needed. 
  • Possess cultural sensitivity awareness and a commitment to diversity, equity, and inclusion.
  • Lead an initial Floor Group Meeting on the opening night of each session to set clear standards and policies.
  • In partnership with the Head of Activities, serve as lead of various evening activities.
  • Possess strong organizational and communication skills along with proven problem-solving abilities. 
  • Handle unexpected student issues, including but not limited to:  student illness, violations of stated community code of conduct, student support and encouragement, and the like. 
  • Be highly mature and able to assist with the management of a residential community of a summer academic program for teens. 
  • Brainstorm, with proctors, ideas for working with students who may be struggling academically, socially, emotionally, physically, or otherwise, referring to the leadership team as needed. 
  • Meet regularly with the leadership team and provide information and ideas for maintaining a positive and healthy community of students and staff. 
  • Engage willingly as a team player with humor, enthusiasm and a compassionate understanding of middle and high school academically advanced students as well as the proctors and other staff members who support them. 
  • Enthusiastically adapt and pivot as needed to ensure optimal, engaging, and safe student experiences.  
  • Assume other program related responsibilities as assigned by administrative staff. 
  • Work closely with other team members to accomplish program goals and address problems in a timely and effective manner. 
  • Uphold all expectations for proctor roles and responsibilities. 
  • Exemplify VSA’s purpose, identify and communicate the cornerstones of a respectful residential and academic community and serve as a role model for all staff and students. 
  • Uphold and enforce all federal, state, University, and program policies as outlined in staff and student handbooks and other referenced materials.

Qualifications:  

The ideal candidate will:  

  • Possess at least a bachelor’s degree.  
  • Have extensive residential life and/or summer program experience at the secondary school or college level.
  • Have extensive leadership and/or team building experience. 
  • Be able to live in the summer residence hall with VSA students and proctor staff. 
  • Demonstrate exceptional maturity and character.  
  • Have experience communicating with parents or key stakeholders of an organization.  
  • Embody a strong team player ethic and sense of humor. 
  • Be able to successfully and positively communicate with individuals of all ages, experiences, and roles. 
  • Successfully pass the Vanderbilt University criminal background check and online training for working with minors.
  • Agree to adhere to all duties before, during, and after the program as outlined in the staff materials.
  • Must be able to traverse distances of at least one mile, including stairs, with or without accommodation.

Compensation:

$16.00/hr (plus housing and meals while VSA is in session)

Program Dates and Times:*

  • VSA Sessions operating June-July 
    • VSA Session 1: June 8 – June 14, 2025
    • VSA Session 2: June 22 – June 28, 2025
    • VSA Session 3: July 6 – 19, 2025 
  • The typical standard weekday shift is 6:30am-8:30am and 2:30pm-11pm in addition to extensive weekend hours. Please note that hours may vary slightly depending on session assignments. Area Coordinators work 1-2 hours each morning in supervising the residential halls as students wake up as well as escorting students to breakfast. 
  • Please note, VSA requires all residential staff to live in the residence hall. This means all staff are expected to remain in the residence hall overnight for each and every night VSA is in session with the exception of agreed upon 24-hour time-off periods (applicable only to 2-week sessions). These 24-hour time off periods will be clearly communicated at the onset of each session; they will be different for each staff member in order to maintain the correct adult to student ratios that are in compliance with Vanderbilt University’s Protection of Minors policies.

Vanderbilt Summer Academy (VSA) Summer Residential Proctor

Job Description:  

A Proctor serves as an in-residence counselor and leader for a group of 8-14 middle through high school students during Vanderbilt Summer Academy, a residential program on Vanderbilt campus that serves academically advanced students. Through leading creative and meaningful evening activities, facilitating daily team-building and intentionally cultivating community, Proctors are critical to enhancing the academic and social experience for students. This is a residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation. 45-55 hours weekly is typical. Flexibility is essential in this position.

  • Activities: VSA Activities Staff (undergraduate students, graduate students & professionals) serve as event planners that support all VSA night and weekend activities. From field games to spa nights to dances, Activities staff ensure exceptional student experiences outside of class.

Job Description:  

The VSA Head of Activities is responsible for designing and overseeing developmentally appropriate and engaging student activities and ensuring the efficient implementation of all student events and activities throughout the summer. Supervising a team of Activity Assistants and working closely with residential staff, the Head of Activities plans, schedules and implements both choice-based and all group events that align with VSA’s mission and values.

Job Description:  

A VSA Activities Assistant serves as an event planner for VSA residential activities. Through facilitating and supporting diverse activities, Activities Assistants are critical to enhancing the social experience of VSA students. Activities Assistants primarily serve in pivotal support roles in planning, developing, and executing residential experiences that ensure optimal student experience and provide high quality activity implementation. This is not a student facing role. This is a non-residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation.

  • Operations: VSA Operations Staff (graduate students & professionals) serve as the VSA nerve center and are responsible for internal/external communications, medication distribution, health logs and the optimal operation of the VSA office. Please note the Operations Team works, at times, on days in which all other staff are off in order to provide customer service to VSA families.

A Day Lead and Night Lead will be hired for this position. 

Job Description:  

The VSA Head of Operations oversees all office and internal logistics of VSA programming and develops structured and efficient processes to ensure program success. Leading a team of program assistants as well as the two Assistant Heads of Operations, the Head of Operations manages the VSA Summer Office which serves as the central hub for all internal and external program communication, inventory control, student medication processes and transportation scheduling. Serving as the initial point of contact for parent concerns and questions, the Head of Operations’s team will demonstrate elite customer service leading to efficient response and resolution metrics. This is a non-residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation.

Vanderbilt Summer Academy (VSA) Head of Operations: Student Travel Logistics

Reports to: PTY Director of Residential and Secondary Programs

Job Description:  

The VSA Head of Operations: Student Travel Logistics reports to the PTY Director of Residential and Secondary Programs and operates as the Student Travel Logistics lead in the VSA Office. This position manages the complex airport shuttle and staffing operations for all VSA check-in and check-out days. This involves continually auditing student airport flight times, communicating with students and parents about changed transportation plans, assigning shuttle times and ensuring the successful implementation of all transportation plans. This is a position that requires extreme attention to detail and the flexibility to work long hours on check-in and check-out days. Due to the long hours on check-in and check-out days, this position will have two days off in the middle of each session week.

The Program Assistant position is a pivotal position within the VSA summer office staff, responsible for managing a variety of tasks essential to VSA operations. The work of the Program Assistant ensures that day-to-day operations run smoothly for all VSA parties, including residential life programming, academic and classroom requests, parent questions and concerns, and student needs. 

Individual tasks and assignments will vary according to strengths, schedules, and interests of each Program Assistant, but general responsibilities include establishing a friendly and professional point of contact in the VSA office, directing calls, managing medication procedures, monitoring supply and equipment inventory, and assisting with all Check-in/Check-out procedures.  

Additionally, the Program Assistant serves as a mature presence to VSA students and staff in the VSA Office. Program Assistants will work closely with each other and all members of residential life to form a team of individuals dedicated to fostering a safe and supportive residential community that prioritizes student wellbeing. This is a non-residential position. VSA Program Assistants generally work 6-8 hour shifts (Sun-Sat) that could be scheduled for morning, afternoon or evening. Job Description:  

The Head of Academic Operations oversees the logistical and risk management components of the VSA classroom experience. In supervising Academic Program Assistants and Classroom Assistants, this position is responsible for a variety of pre-program and in-program objectives including but not limited to: designing and leading trainings, in-program communication with Classroom Assistants concerning schedules and policy compliance, managing academic field trips and implementing contingency plans as needed. This is a non-residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation.

Job Description: 

The Classroom Assistant (CA) supports the VSA academic experience through supporting logistical, risk management and scheduling aspects of the VSA classroom. Classroom Assistants begin each day by supervising students at breakfast and are responsible for all building to building transitions throughout the academic day. In working with Student Support and Health Systems, classroom assistants support all student needs as they arise as well as ensure that all risk management policies are being followed. CAs also assist with airport logistics during Check-in (first day of session) and Check-out (final day of session) as well as assist with supervising at least one weekend residential activity during 2-week sessions. Additional optional weekend hours supporting activities may also be available.

Within their wide array of duties and responsibilities, VSA Classroom Assistants manage three domains of responsibility: 

  1. Risk Management Support — Adhere to and support compliance of program and university policies including the protection of minors, guidelines and regulations, and provide additional support as determined by administrative staff. 
  2. Logistical Support — Set up for labs and other classroom activities and other duties necessary for the smooth operations of the classroom. 
  3. Student Support — Liaise with appropriate staff about students’ socio-emotional and academic concerns. All PTY staff must adhere to PTY’s policies related to confidentiality.
