Refund Policy
Full refunds, less the non-refundable application fee, are awarded for cancellations made by the tuition deadline (Session I: May 3, 2019. Session II & III: April 12, 2019 ). Cancellations made after the tuition deadline and before the refund deadline (May 10, 2019) will be eligible for a 50% refund. No refunds will be awarded for cancellations occurring after the refund deadlines.

Welcome Paperwork

In order to participate in the VSA program, all students must have up-to-date welcome paperwork on file. This welcome paperwork is required for all participants and must be updated every school year, starting in the fall. This paperwork includes permission and release forms, medication permission, allergy information, general health information, medication statements, and health insurance documentation. Based on university policy, students are not permitted to participate in VSA if this paperwork is incomplete at the start of the program.

SESSION I

CHECK-IN – Sunday June 10, 2018.  3:00-5:00 p.m. central time, Hank Ingram House Lobby. (Note that check-in will not be permitted before 3:00 p.m.)

Students arriving by air:  please arrange a flight that arrives in Nashville between 11:00 a.m.-4:00 p.m. Central Time. Note that students will not receive keys to their rooms until check-in begins at 3 p.m.

CHECK-OUT – Friday, June 15, 2018.  1:00 p.m. -3:00 p.m.  Hank Ingram House House Lobby. Hank Ingram House will close at 3:00 p.m.  All students must vacate the residence halls by 3:00.

Students departing by air:  please arrange a flight that departs Nashville between 1:00-4:00 p.m. Central Time. Earlier departures can be accommodated more easily than late departures.  Be advised that session 1 students have class from 9 a.m. – noon on check out day.

SESSION II

CHECK-IN – Sunday June 17, 2018. 3:00-5:00 p.m. central time, Hank Ingram House Lobby. (Note that check-in will not be permitted before 3:00 p.m.)

Traveling to VSA

Please look at the information for your session as there are different check-in and check-out dates & times for each session.

We encourage students from all over the country and world to apply to VSA! During summer 2018, VSA had 36 states and 10 countries represented. This summer we hope to continue to add to that list as we believe that the diversity in our student body creates a powerful community of learners. Session I, II, and III students can fly into the Nashville airport, which is located approximately 20 minutes from campus. VSA staff work with families who are planning travel arrangements to ensure that a VSA staff member is waiting at the airport to greet your VSA student and to shuttle him/her back to campus on a VSA van. Per Vanderbilt policy, VSA students never have to travel to and from the airport alone. When VSA is over, shuttles take students to the airport. Transportation fees apply for travel services: $50 round trip or $25 one way. A transportation form detailing this information will be included in your VSA Welcome Packet.

A note on official “Unaccompanied Minor” status: It does not apply to every traveler under the age of 18 who is traveling alone. Airlines have widely varying policies, fees, and age-limits on this. Check with your airline to determine whether or not they will require “UM” status for your child.  Fees/restrictions often apply and could cause delays at travel times if a required fee is unpaid. Additionally, we ask that all students who must travel UM status, schedule their departing flights as early as possible in our departure window. Under no circumstances should a UM traveler be booked on a last flight of the day either from Nashville or a connecting city.

Inclement Weather Plan

Weather cancellations are unfortunate for all involved, but the safety of our students and families is top priority. Should it be in the best interest of our students and families that we delay or cancel our program due to inclement weather, we will issue a statement to our participants via email and also on our website by 7:45AM the morning of the program. We are unable to offer refunds for weather cancellations. No matter the official program decision, it is always most important that each family make the safest travel decisions in regard to their own situation and program attendance.
