Traveling to VSA

Please look at the information for your session as there are different check-in and check-out dates & times for each session.

For students who are traveling alone by air, VSA staff will arrange to meet students at the Nashville airport and transport them to campus.  Transportation fees apply for this service: $50 round trip or $25 one way.  A week or so before the start of your session, you will receive an email with travel instructions. It will indicate names and contact information of the VSA staff members who will be at the airport as well as what to do upon arrival at the airport and whom to contact in the event of travel delays. See your session section below for flight-scheduling guidelines.

*A note on official “Unaccompanied Minor” status: It does not apply to every traveler under the age of 18 who is traveling alone. Airlines have widely varying policies, fees, and age-limits on this. Check with your airline to determine whether or not they will require “UM” status for your child.  Fees/restrictions often apply and could cause delays at travel times if a required fee is unpaid. Additionally, we ask that all students who must travel UM status, schedule their departing flights as early as possible in our departure window. Under no circumstances should a UM traveler be booked on a last flight of the day either from Nashville or a connecting city.

Students who are traveling by air with a family member will be responsible for their own transportation to/from campus either by cab or rental car, both of which are easily accessible form the airport terminal.  A transportation form detailing this information will be included in your VSA Welcome Packet.

SESSION I

CHECK-IN – Sunday June 10, 2018.  3:00-5:00 p.m. central time, Hank Ingram House Lobby. (Note that check-in will not be permitted before 3:00 p.m.)

Students arriving by air:  please arrange a flight that arrives in Nashville between 11:00 a.m.-4:00 p.m. Central Time. Note that students will not receive keys to their rooms until check-in begins at 3 p.m.

CHECK-OUT – Friday, June 15, 2018.  1:00 p.m. -3:00 p.m.  Hank Ingram House House Lobby. Hank Ingram House will close at 3:00 p.m.  All students must vacate the residence halls by 3:00.

Students departing by air:  please arrange a flight that departs Nashville between 1:00-4:00 p.m. Central Time. Earlier departures can be accommodated more easily than late departures.  Be advised that session 1 students have class from 9 a.m. – noon on check out day.

SESSION II

CHECK-IN – Sunday June 17, 2018. 3:00-5:00 p.m. central time, Hank Ingram House Lobby. (Note that check-in will not be permitted before 3:00 p.m.)

Students arriving by air:  please arrange a flight that arrives in Nashville between 11:00 a.m.-4:00 p.m. Central Time. Note that students will not receive keys to their rooms until check-in begins at 3 p.m.

CHECK-OUT – Friday, June 29, 2018.  9:00 a.m. – 12:00 p.m.  Hank Ingram House closes at noon on check-out day.  All students must vacate the residence hall by noon.

Students departing by air:  please arrange a flight that departs Nashville between 8:00 a.m. – 1:00 p.m. Earlier departures can usually be accommodated. Later departures should be avoided. Last shuttle to airport typically leaves residence hall between 11-11:30 a.m.

SESSION III

CHECK-IN – Sunday, July 8, 2018. 3:00-5:00 p.m. central time, Hank Ingram House Lobby.

Students arriving by air:  please arrange a flight that arrives in Nashville between 11:00 a.m.-4:00 p.m. Central Time. Note that air-arriving students will not receive keys to their rooms until check-in begins at 3 p.m.

CHECK-OUT – Friday, July 27, 2018.  9:00 a.m. – 12:00 p.m. Hank Ingram House closes at noon on check-out days.  All students must vacate the residence hall by noon.

Students departing by air:  should arrange a flight that departs Nashville between 8:00 a.m. – 1:00 p.m. Earlier departures can usually be accommodated. Later departures should be avoided.  Last shuttle to airport typically leaves residence hall between 11-11:30 a.m.
